Terms of Service
Draft date: October 22, 2026 · Contact: [email protected] (mailbox not yet active)
These Terms of Service ("Terms") govern your access to and use of the websites, applications, APIs, MCP server and related services (the "Services") offered by Civic Offices LLC ("Civic Offices," "we," "us"). By using the Services you agree to these Terms. If you use the Services on behalf of an organization, you represent that you are authorized to bind it.
1. What Civic Offices is — and is not
Civic Offices is an independent documentation and correspondence service. We help you find official government sources, format and transmit correspondence you write or direct, and keep a private record of your matters.
- Not a law firm. We do not provide legal advice, opinions, or representation, and we do not select claims, defenses, or legal positions. No attorney-client relationship is created by your use of the Services.
- Not a legal document assistant or unlawful detainer assistant, and not a filing agent. We do not file anything with any government agency on your behalf.
- Not a government agency and not affiliated with one.
- Your Matter Docket is your private record — not an official court docket. We make no claims about privilege or admissibility.
2. Eligibility and accounts
You must be at least 18 and able to form a binding contract. You are responsible for your credentials, for activity under your account, and for keeping your contact information accurate.
3. Your content and your approvals
You are the author of, and solely responsible for, all content you or your agents submit ("Customer Content"), including its accuracy and lawfulness. Every substantive outgoing communication requires your explicit approval. We transmit content exactly as approved; any change requires a new approval. You grant us a limited license to host, process, render, transmit and store Customer Content solely to provide the Services.
4. AI agents
You may authorize software agents with scoped credentials. You are responsible for your agents' actions within the scopes you grant. Agents cannot approve outgoing communications; only a human user can.
5. Official sources
We link to official sources and display metadata (titles, numbers, URLs, check dates). Government sites change; always confirm on the official site. We do not copy government documents and make no warranty that any source is current or complete.
6. Fees, payment and refunds
Paid Services are charged at the prices shown when you approve. Pass-through costs (such as postage) are disclosed separately. You're paying for preparation, transmission, and tracking — not for any result. Refunds follow the policy shown at checkout (for example, cancellation before submission to a print-and-mail provider). Subscriptions renew until cancelled; you may cancel at any time effective at the end of the current period. California automatic-renewal disclosures will be provided at sign-up.
7. Acceptable use
Your use must comply with our Acceptable Use Policy and the policies of our delivery providers. We may decline, hold, or cancel any transmission that appears to violate it.
8. Third-party providers
We use providers (listed on our Subprocessors page) to print, mail, email, fax, process payments, and host data. Carrier delivery timing is outside our control.
9. Intellectual property
We own the Services, including software, design and templates (excluding Customer Content). Structural templates may be used only within the Services.
10. Disclaimers
THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT PROMISE ANY OUTCOME FROM ANY CORRESPONDENCE.
11. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, CIVIC OFFICES WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR LOST PROFITS, AND OUR TOTAL LIABILITY FOR ANY CLAIM WILL NOT EXCEED THE GREATER OF THE AMOUNTS YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM OR US $100. Some jurisdictions do not allow certain limitations; in that case they apply to the extent permitted.
12. Indemnity
You will indemnify Civic Offices against third-party claims arising from your Customer Content, your agents' actions, or your violation of these Terms.
13. Termination
You may stop using the Services and export or delete your data at any time. We may suspend or terminate access for violation of these Terms. Sections that by their nature should survive will survive.
14. Governing law and disputes
These Terms are governed by the laws of the State of California, without regard to conflict-of-laws rules. Exclusive venue for disputes is the state and federal courts located in California, subject to any dispute-resolution provision counsel may add. [Attorney review: arbitration / class-waiver provision TBD.]
15. Changes
We may update these Terms; material changes will be notified in advance by email or in-app notice. Continued use after the effective date means acceptance.
